Start with personal → work
Suppose a personal appointment sits on Google Calendar and your employer uses Outlook. Select personal Google as the source and work Outlook as the destination. Choose Busy blocks so the copy leaves out the appointment title, description, location, and attendees.
This is an illustrative setup, not a customer testimonial. The same direction works between supported calendars from the same provider. Use the multiple-Outlook guide when both accounts are Microsoft.
You only need a return direction if work meetings should also appear on your personal calendar. Check your employer's policy before copying work events outside its account, even as busy time.
Review the filters against real commitments
A dentist appointment at 3 PM and an all-day school closure aren't the same kind of event. Busy-block presets skip all-day and declined events. If an all-day commitment should prevent bookings, change that setting deliberately.
Working-hours filters can keep late-night reminders out of work, but they can also exclude an early appointment that affects your availability. Test an example near the boundary. Check time zones when the two accounts use different defaults or you travel.
Use a neutral label such as “Busy.” Don't replace a hidden appointment title with an equally revealing custom label. A private flag on a work calendar doesn't remove the employer's administrative access.
Verify the work calendar on its own
- Connect both accounts in Calendars. Obtain organization approval if requested.
- In Syncs, choose personal → work, select Busy blocks, and review the filters.
- Preview and create the rule. Make a short disposable appointment on the source within the sync window.
- Open only the work calendar in Outlook or Google Calendar. Confirm the copy's time, busy status, and hidden details.
- Move and delete the source appointment, then verify that the destination copy follows both changes.
Provider notifications trigger updates, with a 15-minute safety sweep; a copy isn't guaranteed to arrive within a particular number of seconds. Keep editing the original appointment. Changes made on its work-calendar copy won't travel back.
You may only need a combined view
If the goal is to read both calendars on your phone, adding both accounts to a calendar app may solve it. If your booking service can already check both calendars with suitable permissions, test that first.
Copying is useful when the work calendar itself needs your busy time. Read sharing versus syncing before granting extra access, and use the private-sync checklist to inspect what reaches the destination.
